PRIMARY DUTIES & RESPONSIBILITIES

OVERVIEW OF POSITION / DEPARTMENT

The City Clerk’s Office is committed to providing excellent customer service to our diverse community through communication, trust, professionalism, respect and accountability. Under the general direction of the City Clerk and under the supervision of the Deputy City Clerk, the Administrative Assistant is responsible for a variety of complex clerical and public contact duties and provides routine administrative support for the City Clerk Division of the General Management Department.

PRIMARY DUTIES & RESPONSIBILITIES

Staff reception desk daily to greet customers and provide in-person customer service; in addition, respond to inquiries from the general public and all levels of city staff via phone, email, and mail correspondence Provides complex clerical support for the Council agenda process Contacts and schedules ministers for the invocations Council meeting preparation, set up and disassembly Assists with various election-related functions Prepares, reviews, proofs, processes, and monitors documents including correspondence, reports, statistical data, documents, manuals, legal notices, publications and recordings Maintains a variety of filing and record-keeping systems and maintains computerized databases Prepares records and reports on work unit activities Maintains computerized databases Performs additional duties as assigned This job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee. MINIMUM QUALIFICATIONS & WORKING CONDITIONS

MINIMUM QUALIFICATIONS

An equivalent combination of education, training, and experience that demonstrates required knowledge, skills, and abilities may be considered. Education: High school diploma or equivalent (GED) required. Experience: At least one (1) year of general clerical and customer service experience including experience using personal computers and related software applications. Knowledge: Knowledge of basic office practices and procedures Business English and math Personal computers and word processing software applications General office equipment Skills: The use of personal computers including related software, including simple spreadsheet, database design, and work processing software applications Effectively and efficiently keys information using a keyboard Strong interpersonal skills Abilities: Establish and maintain effective working relationships with employees, citizens, and elected officials Handle sensitive situations with tact and diplomacy Communicate effectively both orally and in writing Effectively manage multiple projects with deadlines and prioritize work

WORKING CONDITIONS

Essential Personnel: When a local announcement of emergency or disaster is declared by the city, all City of Aurora employees may be required to work as essential personnel. Physical Demands: Light physical work lifting at least 20 pounds at a time with frequent lifting or carrying of objects weighing up to 20 pounds with or without assistance Occasional lifting or carrying of objects Occasional walking and standing Frequent hand/eye coordination to operate computer keyboard and office equipment Clear vision to read computer screens, reports, and related department documents Dexterity to operate computer keyboards and other related office equipment Frequent speech communication and hearing to maintain communication with employees and citizens Work Environment: Works primarily in clean, comfortable environment Equipment Used: Frequently uses standard office equipment including computer, calculator, multi-line telephones, copy/fax machines and postal equipment This position may require the incumbent to use personal equipment (e.g. vehicle, cell phone, tools, etc.) in the course of their employment The city of Aurora will implement furlough days (unpaid days off) for most employees in 2026. The scheduled furlough dates are January 16, April 10, July 2, and December 24.
